Real teams.
Real hours back.
NextFaze is a B2B fintech company processing high volumes of supplier invoices and payment runs for mid-market customers. We deployed end-to-end accounts payable automation and AI agents so the finance team could close payment cycles faster, with tighter controls and fewer manual touches per invoice.
The Challenge
As a B2B fintech, NextFaze's accounts payable function was the operational bottleneck. Invoices arrived from hundreds of suppliers in inconsistent formats. Coding, three-way matching, approvals, and payment scheduling were done by hand. Month-end close stretched across several days, exceptions piled up in inboxes, and the team couldn't take on more customers without hiring.
The Solution
We deployed AI agents and automation across the full AP cycle. An ingestion agent reads invoices from email and supplier portals, extracts and normalizes line items, and runs three-way matching against POs and receipts. An approvals agent routes exceptions with full context. Payment runs are scheduled, reconciled, and posted back to the ERP automatically — turning a multi-day close into a continuous, near-real-time process.
Across all four service lines.
Every workflow we offer played a role. Here's exactly what each one did.
Spent a week inside the finance team. Mapped every step from invoice receipt to payment posting. Quantified hours per role, ranked the wins by ROI, and sequenced the build before any integration was touched.
- Full AP cycle mapped end-to-end
- ROI-ranked roadmap aligned with finance leadership in week 1
- Two redundant approval steps removed before automation began
Automated invoice ingestion, line-item extraction, GL coding suggestions, and three-way matching against POs and goods-received notes. Routine invoices now flow from inbox to ERP without a manual touch.
- Invoices ingested and coded automatically from email and portals
- Three-way matching against POs and receipts runs continuously
- Month-end close cycle compressed materially
Deployed an AP triage agent that handles exceptions: missing POs, mismatched amounts, duplicate invoices, and supplier follow-ups. The agent drafts the response, gathers context across the ERP and email history, and escalates with a clean summary only when a human decision is required.
- Exception handling automated for the majority of edge cases
- Supplier follow-ups drafted and tracked without manual chasing
- Escalations reach finance with full context, ready to decide
Connected the AP stack into one source of truth. Email, supplier portals, the ERP, the banking layer, and Slack now sync in real time. AP status, cash position, and payment runs flow into a single dashboard.
- One source of truth across AP, ERP, and banking
- Zero duplicate data entry across finance
- Live syncs replace nightly batch jobs and spreadsheets
