    How we handle your information

What we collect, why we collect it, who we share it with, and the choices you have — including how we use data from Google accounts you connect to our tools.

    Last updated: October 2, 2026

This Privacy Policy explains how Factor Consulting LLC, a Texas limited liability company (“Factor,” “we,” “us”), handles personal information when you visit factorconsulting.org, book a meeting with us, buy or use our services, or sign in to tools we operate (such as our scheduling, knowledge-base, and internal workflow applications). It applies to those sites and tools collectively (the “Services”).

    1. Information we collect

    Information you give us

    • Contact details you submit through forms, email, or bookings — name, email address, phone number, company, and the message or meeting notes you provide.
    • Engagement and billing details when you purchase a package — billing name and address and the package selected. Card payments are processed by Stripe; we do not receive or store full card numbers.
    • Content you share with us while we deliver Services, such as documents, workflow requirements, and access you grant to your business systems.

    Information collected automatically

    • Basic usage and device data (pages viewed, referring page, browser type, approximate location derived from IP address) collected through cookies and similar analytics technologies.

Information from Google when you connect a Google account

Some of our tools let you sign in with Google or connect a Google account. Depending on the tool and the permissions you approve on Google’s consent screen, we may receive:

    • Basic profile information (name, email address, profile picture) to sign you in and identify your account.
    • Google Calendar data (availability and events) so our scheduling tool can show open times, prevent double-booking, and create meeting events and video-conference links for bookings you make or accept.
    • Gmail data (messages, labels, and mail settings) only for Google accounts that belong to Factor team members, used by our internal workflow tools to sort, label, draft, and send that team member’s own email at their direction.

We request only the permissions a tool needs, and you can review exactly what is being requested on Google’s consent screen before approving it.

    2. How we use information

    • To provide, operate, and support the Services you request, including scheduling meetings and delivering automation projects.
    • To communicate with you about bookings, projects, invoices, and support requests.
    • To process payments and keep business and tax records.
    • To secure our systems, prevent fraud and abuse, and comply with legal obligations.
    • To understand how our website is used and improve it.

We do not sell personal information, and we do not use it for third-party advertising.

    3. Google user data

Factor’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

    • We use Google user data only to provide or improve the user-facing features of the tool you connected, as described in Section 1.
    • We do not transfer Google user data to others except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to users.
    • We do not use or transfer Google user data to serve advertisements, including retargeting, personalized, or interest-based advertising.
    • We do not allow humans to read Google user data unless we have your affirmative agreement for specific messages, it is necessary for security purposes (such as investigating abuse), it is required to comply with law, or the data is aggregated and anonymized for internal operations.
    • We do not use Google Workspace API data (including Gmail and Calendar data) to develop, improve, or train generalized or non-personalized AI or machine-learning models.
    • We do not sell Google user data.

You can revoke a tool’s access to your Google account at any time from your Google Account permissions page. Revoking access stops further collection; to have data we already hold deleted, contact us as described in Section 7.

    4. How we share information

We share personal information only in these situations:

    • Service providers that host or operate the Services on our behalf (for example cloud hosting, email delivery, e-signature, scheduling, and payment processing), under contracts that limit their use of the data to providing services to us.
    • AI model providers we use to deliver features you request, under terms that prohibit them from training their models on the data we send.
    • When required by law, legal process, or to protect the rights, safety, or property of Factor, our clients, or others.
    • In connection with a merger, acquisition, or sale of assets, with notice to affected users.
    • With your consent or at your direction.

    5. Data retention

We keep personal information only as long as needed for the purposes above. Business, billing, and contract records are kept as required for tax and legal purposes. Google user data is kept only while the connected tool needs it to provide its features and is deleted when you revoke access and ask us to delete it, or when the account is closed. Client project data is returned or deleted on request at the end of an engagement, as described in our Services Agreement.

    6. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit, access controls limited to personnel who need the data to do their jobs, and protected credential storage. No method of transmission or storage is completely secure, but we work to protect your information and will notify affected users of a confirmed breach as required by law.

    7. Your choices and rights

You may ask us to access, correct, or delete the personal information we hold about you, or to stop sending you marketing emails, by contacting info@factorconsulting.org. Marketing emails also include an unsubscribe link. Depending on where you live, you may have additional rights under local law; we will honor requests as those laws require and will not discriminate against you for exercising them.

    8. Children

The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.

    9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a new “Last updated” date and, for material changes, provide additional notice where appropriate.
